Help Center - Can I send a DVD later?

SwapaDVD is dedicated to the concept of timely swapping. While of course we understand that occasionally circumstances can delay a shipment, chronic late mailing is not acceptable.  The longest timeframe for sending a DVD (from acceptance to marking mailed) is 7 days. 

  • If you are away from your home and cannot send out DVDs within this timeframe, your account should be on Hold to prevent incoming requests.

  • If you have accepted a request but know you will not be able to mail a DVD within 2 days of when you said you would mail it, you should ask the requestor's consent to mail the DVD late. 

    • If a requestor re-requests the DVD and ends up with 2 copies because you did not inform him or her that you mailed late, the requestor will NOT be required to mark the late-mailed DVD received.
    • Late mailing without consent invalidates Quick Credit and Instant Credit, and accounts that mail late without consent are not eligible for Guaranteed Credit.
  • If you accepted a request and something comes up unexpectedly, contact the sender to let him or her know that mailing was delayed, as soon as you have mailed the DVD. Most requestors don't mind a little delay, as long as they are kept informed of the situation. 

    • If a requestor re-requests the DVD and ends up with 2 copies because you did not inform him or her that you mailed late, the requestor will NOT be required to mark the late-mailed DVD received.
    • Late mailing without consent invalidates Quick Credit and Instant Credit, and accounts that mail late without consent are not eligible for Guaranteed Credit.
  • If you do arrange late mailing with a requestor, you should mark the DVD mailed before the deadline to prevent the transaction from being canceled.

  • Late mailing without notice can invalidate the swap - members who mail more than 4 days late without at least notifying the requestor will not get credit  if the requestor re-requests the DVD from someone else, and then ends up with 2 copies of the DVD.

  • If you marked a DVD mailed with the intention of mailing it right away (or you entrusted it to someone else to mail) and then find that it did NOT get mailed, then BEFORE mailing:

    • If the DVD is still "mailed" on your My Account page (it has not been declared "lost" yet):
      • you should contact the requestor to make sure that he or she still wants the item, to check that he or she has not moved since the request was submitted
      • you should also inform the requestor that the delay may result in the item being declared "lost" while it is actually in the mail, and let the requestor know that she or he can mark the item received from "lost" in the Transaction Archive when it arrives.       • If the requestor does not want the item anymore, don't mail it. You can contact us to cancel the request, or let the system declare it lost in time (whichever the requestor prefers).
    • If the DVD has been declared "lost" (= it is not on your My Account page anymore, and you have gotten an email telling you that it was declared "lost" by the system)
      • you should repost it to offer it again for swapping.The requestor may have already reordered a copy.
      • if the previous requestor did not already request another copy, yours will be offered to him or her.
